Streamlining Client Fulfilment - Part 2 - Better Client Engagement

If you are an entrepreneur, you’ve obviously heard people talk about boosting client engagement…

Having engaged clients is why our clients finally streamlined and delegated client fulfillment and take proper vacations as clients get results while "Marketing Agency Sue” still fights to structure things and wants to quit and burn her business down.

Keeping clients engaged throughout client fulfilment leads to better results, better project management, greater client compliance and more retention, peace and time freedom.

How do you keep those clients excited to do the work? How do you move from chasing clients to them meeting all your deadlines?

🤔Is it by working with committed/self-motivated clients? ➡️what does that even mean?

🤔Is it by changing the type of clients you work with? ➡️ You’ll still need a better process

🤔Is it having a client portal, automations, chasing clients, frequent follow-ups, doing the work for them… there is so much advice out there.

You can do a million different things and none of them will boost client engagement or make delegating client delivery easier.

You can use every client and project management software, portals and groups under the sun- (Notion, ClickUp, Asana, Trello, Facebook, CoachAccountable…everywhere) and not boost client engagement or work less.

So, how do you foster engagement?

It's a simple formula.

Moments of Pride + Timelines + Communication = Engagement

🔐You need a quest with opportunities for frequent victories along the way to foster moments of pride. Each quest step needs a realistic deadline that you communicate to your clients ahead of time...

🦩Progressive Moments of Pride:

Ask two questions:

1) What are the steps my clients and I need to take to get from where they are to our goal?

2) How do I multiply the number of motivating milestones my clients encounter en route to our goal?

Most successful client projects use the structure of pleasurable games. They have a system of levels that invites clients into the journey and builds anticipation of upcoming moments of pride. Plus shows delightful milestones they’ve met but might not have noticed.

For example: a digital marketing agency that build websites can go from listing features like...

👉🏽1:1 strategy call & data gathering form

👉🏽Ad hoc email updates and requests.

To a level-up forward-looking EPIC client journey (experience) of mandatory tasks to success:

🎮Level 1: Pay you and get excited to work with you (pre-onboarding tasks)

🎮Level 2: Get on the same page and prepare whatever you need to work together (onboarding tasks)

🎮Level 3: Collaborate to create that beautiful website (so many opportunities for levels here ➡️design tasks, development tasks, testing tasks, etc.)

🎮Level 4: Launch the website. Plus present the opportunity to level up into your next offer ➡️(training and offboarding tasks)

Creating a client journey with progressive levels and steps streamlines client delivery and lays the foundation for client engagement without extensive effort from you and your team. Why?

It’s clear how each level and task fits together and how they connect to the outcome your client desires. Plus conquering each level feels good. It builds anticipation and frequent moments of pride as you both make progress that easily tracked (bonus points if you gamify it).

🦩Realistic Timelines

Set task timelines that are realistic for you and your clients.

It is easy to pull timelines out of the air.

That habit creates Mission Impossibles for you, your team and clients.

The kind that causes clients to miss deadlines and wipes out your client’s confidence unless they are Tom Cruise.

Meeting timelines builds client confidence. Confidence in you/team’s ability to guide them and confidence in themselves to complete the next level.

And that confidence builds engagement and boosts eagerness to continue the journey.

That’s why people will spend hours playing Candy Crush. They have realistic targets.

Even if they fail a level, they are not daunted. Their experience with previous levels instils confidence that they can smash this level too.

🦩Communicate Proactively

Emails, calls, sending pigeons are all parts of communication.

If you don’t have a solid client engagement foundation, your communication and follow-up fall flat (or worse gets ignored).

…that’s why many engagement attempts result in disengaged, disempowered or disappearing clients.

And why many people-focused entrepreneurs struggle to get out of the day-to-day of client fulfilment.

It’s not about communicating a lot or repeating yourself over and over.

🚨Instead of establishing a solid client engagement foundation then communicating…they skip the foundations and communicate whatever and whenever they feel like it…

And so, they don’t become the expert with engaged clients… instead they become the frustrated client chaser or accountability partner who needs better processes.
